Nevelex's Switch to Kimai
Why? After numerous time consuming negotiation sessions, which became a yearly ritual, we decided to switch from our previous time-tracking and invoicing system to Kimai, an open-source time tracking system. While the original system provided excellent functionality, its pricing didn’t align with how we utilized it. Kimai, being open-source, offered a more cost-effective solution with the flexibility for us to customize the code to fit our workflow.
Data Migration: We carefully planned the migration of important data from our previous system, including clients, projects, tasks, rates, and timesheets. By exporting this data through CSV files and utilizing custom scripts, we ensured a smooth import into Kimai, preventing any disruption to our time-tracking and invoicing processes.
Customizations: A primary customization we made was updating Kimai and the Approval Bundle to support Saturday as the start of the week, a feature not supported by Kimai out of the box. To streamline our operations further, we developed a payroll report plugin. This report collects employee work hours data and is designed to summarize all the data needed by our payroll provider.
Testing and Validation: After making these customizations, we conducted thorough testing to ensure everything worked as intended. We validated the Saturday-based week structure, tested the payroll report’s accuracy, and confirmed that the approval process was functioning smoothly. A small group of users trialed the system to catch any potential issues before the full rollout.
By switching to Kimai and implementing customizations such as a Saturday-based week and a payroll report plugin, we successfully replaced our previous costly system with a tailored solution that directly serves our time-tracking, invoicing, and payroll needs.
